35 years Scan Sys

Scan Sys has been around for 35 years. Long enough to experience multiple phases of the market, long enough to see what works and what doesn’t. On this page, we look back at the steps that mattered, by the people who were there.

How it began

There was a time when someone at a notary’s office wanted to find a document and opened a cabinet to do so. With folders. And paper.

In that world, Scan Sys began in 1991. Not with a big plan, but with a simple idea: if you can scan paper documents and make them available digitally, it saves a lot of work and time.

What followed was not a straight line, but it was a recognizable movement. Looking at where organizations get stuck and continuing to build solutions that work. From paper to digital, from scanning to recognizing, from invoice processing to automating all document flows.

Looking back, I am most proud of the people. On colleagues who helped build for years. On the fact that with a compact team we have been able to help so many customers.

Thus, Scan Sys grew

1991 – 1994

The first few years revolved around paper documents, scanners and customers who wanted less searching above all else. In retrospect, that was exactly the basis: understanding where documents get stuck in practice. Not from a presentation, but simply by working with them.

1996

At the CeBIT fair in Hannover, we ran into an Austrian software company with something we didn’t have yet. We closed the deal even before the fair closed.

In retrospect, that was the moment when Scan Sys stopped doing what others were asking, and started building what the market needed.

“What makes Scan Sys strong is that people are not quick to say: this is not my responsibility. They just look at what is needed.”

1999

Scan Sys builds a digital clipping newspaper. Shell, ING, major broadcasters, ministries: more than 150 organizations are adopting it.

From that same world comes a customer demand that changes everything. A media production organization wants to link paper contracts to a database. The demand is too logical to ignore. ImageCapture is built.

2001 – 2005

In 2001, ImageCapture appears. Transportation forms the product: bills of lading that must be processed and linked every day, at scale, and it must be right.

At Tele2, the step to financial administration starts with a simple solution: a barcode sticker on the invoice, stack in the scanner, done. From that first link, the cooperation with Exact grows rapidly.

“Sometimes you see a customer driving by on the road or you come across documents from another customer at one customer’s place. Then you notice how much has been accumulated over all these years.”

2010 – 2017

ImageCapture for Invoices appears. Purchase invoices can now be processed automatically and linked to the correct entry. In the year of launch, we become an immediate market leader.

We have not given that position away since then. The number of customers and links continues to grow year after year.

2018

Document processing doesn’t stop at recognition and booking. With the launch of ImageCapture Workflow, invoices can now be approved digitally, with a full digital archive attached.

No more walking around paper piles. The process becomes faster and more manageable.

“Workflow was an important next step. This made ImageCapture not only stronger, but more complete for customers.”

2024

Scan Sys joins Blinqx. Same team, same management, same software. What grows: the ability to keep building and innovating. Today, 45,000 people work with ImageCapture every day.

The core is the same as in 1991: look at where the friction is and put something good in front of it.

Jessica van der Laan

“I’m proud of my department. The back office gets inquiries and work from all sides, and I think it’s amazing how well they do it.”

Thank you to everyone who made this possible.

35 years of Scan Sys is not a story of software alone. It is also the story of customers who gave us their trust, partners who thought along with us, and colleagues who continued to build, improve and persevere day after day.

To what has been built. To the people. To the culture. To the fact that something stands. You don’t build an organization in a few great moments. It grows over years. With people. With customers. With choices.

We are sincerely proud of that. On to the next 35.
