Consignment note automation

Process consignment notes, CMR consignment notes, AVC consignment notes, delivery notes and other Proof of Delivery documents digitally with ImageCapture. Link transport documents to the right order, trip, delivery or file in your TMS or administration, so files are complete sooner and invoicing can go ahead earlier.

Consignment notes are available digitally right away, so we can check and invoice faster.
Ron Langeveld, Controller at Boonstra Transport

From returned document to completed file

In transport, the process does not stop once the trip has been driven. The consignment note, CMR consignment note, delivery note or other proof of delivery has to come back, be linked to the right file and be available for invoicing.

Without that document, a file often stays open. The administration has to search, sort, check and link before the invoice can go out.

ImageCapture takes that manual work out of the process. Transport documents and Proof of Delivery documents are scanned, imported, linked and made available digitally with the right job, trip or delivery.

Linked to order, trip or file

ImageCapture links freight documents based on barcode, file number, trip information or manual selection.

Status back to your TMS

After processing, the status “consignment note returned” or “proof received” can be written back to your transport or administration system.

Proof available for invoicing

The consignment note, CMR, AVC, delivery note or POD can be retrieved digitally and used for invoicing or customer questions.

ImageCapture:
from a pile of paper to a linked consignment note

A driver comes back with consignment notes. A customer sends documents by email. A charter supplies an invoice with several consignment notes attached. In all of these situations, the consignment note has to end up in the right place.

ImageCapture does not process consignment notes as loose scans, but links them to the right file. That is where the value lies: supporting documents become digitally findable, verifiable and usable for invoicing.

What does consignment note automation actually deliver?

Consignment note automation means less searching, faster file handling and more control over the documents needed for invoicing.

Link to trip, order or file

The consignment note is linked to the right job.

This can be done via barcode, file number, trip information, open trips or manual selection.

Processing consignment notes smarter with AI?

AI helps ImageCapture recognise transport documents more flexibly, even when consignment notes, CMRs, delivery notes or trip documents arrive in different layouts.

This means documents are recognised, linked and checked faster, while the administration stays in control of exceptions, missing data and discrepancies.

Integrations with TMS, ERP and financial software

ImageCapture connects to transport administrations, TMS systems, ERP systems and financial software.

Planning, trip registration, on-board computer data and invoicing stay in the system that is leading for them. ImageCapture does not replace your TMS.

ImageCapture makes sure consignment notes, CMRs, AVCs, delivery notes and other Proof of Delivery documents are processed digitally, linked and made available where you need them.

Frequently asked questions about consignment note processing

What is consignment note automation?

Consignment note automation is the digital processing of consignment notes and other transport documents.

ImageCapture scans or imports the consignment note, recognises the relevant data and links the supporting document to the right trip, order, delivery or invoice. This way, transport files are complete sooner and the information is available earlier for checking and invoicing.

What is a consignment note and what information does it contain?

A consignment note (in Dutch: vrachtbrief) is the generally recognised name for a document that records the agreements and essential data for the carriage of a load.

A consignment note includes, among other things, the name and address of the sender, carrier and consignee, the nature and packaging of the goods and the gross weight or quantity. The date, place of receipt, place of delivery, number of packages and additional transport instructions are often stated too.

For dangerous goods or hazardous substances, additional requirements apply to the transport document. Which data is mandatory depends on the load and the applicable legislation.

When is a consignment note required for professional and domestic transport?

As a general rule, a consignment note is mandatory for professional road haulage in the Netherlands. Professional haulage is transport that a carrier performs for another party in return for payment.

The consignment note must be present during transport and the driver must be able to show it during an inspection. This also applies to domestic transport, unless the transport falls under a legal exemption. A delivery note or delivery receipt does not replace a consignment note.

When is a consignment note required?

Under the Dutch Road Haulage Act (Wet wegvervoer goederen), no consignment note is required for own-account transport. For domestic transport in the Netherlands, there are also exemptions for:

  • vehicles with a payload of up to 500 kilograms;
  • live animals;
  • agricultural products from the place of cultivation to the auction;
  • empty packaging used in this transport;
  • household removals;
  • bulk goods;
  • postal items.

Whether an exemption applies depends on the exact transport situation. Always check the current regulations.

When is no consignment note required?

A consignment note is not always required for domestic transport in the Netherlands.

No consignment note is needed for certain forms of own-account transport and for a number of exemptions, such as transport with a limited payload, live animals, agricultural products from the place of cultivation to the auction, household removals, bulk goods and postal items.

Always check the current rules for the exact application. This page is not legal advice; it is about digitally processing the consignment notes that do end up in your administration.

What is a CMR consignment note?

A CMR consignment note is the standard consignment note for international road transport.

The CMR consignment note is used for cross-border road transport between European countries and other countries where the CMR Convention applies.

The CMR Convention is an international convention on the contract of carriage and liability in the international carriage of goods by road.

For the administration, what matters most is that the CMR consignment note is digitally linked to the right trip, order, delivery or invoice.

What is the CMR Convention?

The CMR Convention governs the international carriage of goods by road.

Among other things, the convention covers the contract of carriage, the roles of sender and carrier and liability for damage to or loss of the load.

In practice, the CMR consignment note is therefore an important document in international road transport.

ImageCapture does not change that legal effect, but helps you process and retrieve CMR consignment notes digitally.

What is an AVC consignment note?

An AVC consignment note is used for domestic transport in the Netherlands when the Dutch General Transport Conditions (Algemene Vervoerscondities, AVC) apply.

AVC consignment notes record which goods are transported, who the sender, carrier and recipient are and under which conditions the transport takes place.

With ImageCapture, AVC consignment notes can be processed digitally and linked to the right file.

What is the difference between a standard consignment note, CMR and AVC?

A standard consignment note is the generally recognised name for a document that records the data about the transport.

A CMR consignment note is used for international or cross-border road transport.

An AVC consignment note is used for domestic transport in the Netherlands when the General Transport Conditions apply.

For ImageCapture, the difference mainly matters for recognition, linking and archiving: every document has to end up with the right trip, order, delivery or invoice.

Does consignment note automation work with my TMS or ERP?

ImageCapture integrates with various transport, ERP and financial systems.

During a demo, we look at which integration fits your TMS, administration, document flow and invoicing process.

The value is not only in OCR, but above all in how it is applied: processing consignment notes digitally, linking them to the right file and making them available for invoicing.
