Arie Bouman Tuinplanten, a passionate wholesaler of garden plants, supplies a wide range of products to garden centers, DIY stores and dealers. Since automating their invoice processing in 2015 with ImageCapture, they have gained a lot of experience with digital solutions.
When Scan Sys launched the declarations module for ImageCapture in 2021, Arie Bouman Tuinplanten was immediately interested. The challenge
Before the introduction of ImageCapture, claims processing at Arie Bouman Tuinplanten was cumbersome and inefficient. Employees had to scan receipts and record them manually, which often resulted in lost receipts and time-intensive follow-up by the administration. There were also frequent delays in booking claims, especially for purchases made with the company debit card.

The process/method
Arie Bouman Tuinplanten was the first organization to adopt ImageCapture’s new expense report module, and the implementation went smoothly. In consultation with Scan Sys, the solution was tailored to their business structure and administrative needs. Settings were configured so that employees could easily assign their cost centers when submitting receipts. A clear approval schedule was also set up based on the amount and the employee, so that expense claims go directly to the right fiaticians.
