HUB Footwear, founded in 2004 by Huub van Boeckel, is an internationally operating brand with a focus on comfortable and stylish shoes. What started as a local shoe brand quickly grew into a well-known name in the fashion world, with distribution in several European countries.
As the company grew, so did the volume of administrative work, which led to the need for a more efficient way of processing invoices. Working with Scan Sys and ERP vendor Reflecta, HUB Footwear found the solution in ImageCapture, which helped the company digitize their financial records.

The challenge
HUB Footwear’s rapid growth brought a significant increase in the number of purchase invoices. These invoices had to be printed, entered and administered manually, which was not only time-consuming but also resulted in additional costs and the risk of errors.
Marco Marzolla, Director of Finance & Operations at HUB Footwear, saw the importance of simplifying these processes. “I was sure I could save money by making the administration more efficient,” Marzolla said.
With ImageCapture, we save time and there are no more documents getting lost. All data is now safely in our system, ready for immediate use.
The process/method
To modernize administration and reduce manual work, HUB Footwear chose to integrate ImageCapture with their ERP system, Reflecta XL-ENZ. Scan Sys, Reflecta’s integration partner, supported the implementation and ensured a smooth transition to the new way of working.
This digital solution retrieves invoices from designated inboxes and automatically processes them in Reflecta XL-ENZ, using existing data to encode invoices and create entries. Once approved, the digital document is immediately linked to the appropriate entry, which speeds up and simplifies administrative processes.

Purchase invoices are now processed fully digitally and automatically, which allows for faster processing and fewer errors, and makes financial administration significantly more efficient.
Time and cost savings
HUB Footwear saves 0.4 FTE, or one working day per week, by no longer processing invoices manually. This allows more time for strategic tasks.
Central management
All invoices are available digitally, which enables quick search, viewing and sharing and improves collaboration.

What´s next?
Following the success of the invoice processing solution, HUB Footwear is exploring further digitization to streamline other administrative processes as well.
The goal is to eventually go completely paperless so that the company can continue to focus on growth and innovation in the footwear industry.
