Frequently Asked Questions

What happens if we are not ready on time?

Starting in 2026, e-invoicing through Peppol will become mandatory step by step. Those who are not ready by then may face problems submitting or receiving invoices. Governments and more and more customers will only accept invoices via Peppol. As a result, you run the risk of payments being delayed or invoices being rejected.

Fines are not imposed at this time, but the practical implications can be significant. Invoices not submitted through the proper channel simply count as not submitted.

Good news: with clear planning and proper preparation, you can easily avoid this. Start with a small team, set up the basics and connect the first suppliers. That way you stay compliant and keep a grip, without unnecessary stress.

How much time will an implementation take and will I still make it to 2026?

Yes, you certainly can. A Peppol implementation does not have to be a large IT project. The lead time depends on the size of your organization and the number of vendors, but many companies can fully transition within a few weeks to a few months.

The important thing is to work one step at a time. Start with a core team, determine which processes will run through Peppol, and test with a small group of vendors. ImageCapture integrates with existing ERP and P2P systems, so you don’t have to do a complex migration.

With that approach, you’ll be ready well in time for 2026 and immediately benefit from less manual work and more insight into your invoices.

Specifically, what does this provide my organization beyond compliance?

Peppol not only ensures that you comply with the new rules, but also that your administration becomes simpler and more reliable. Invoices arrive digitally immediately, without manual entry or error-prone intermediate steps. This saves time and reduces the chance of errors.

Because invoices are automatically matched with orders and receipts, you have faster insight into costs and budgets. Your records are always up-to-date, easily traceable and ready for audit. Employees have less to correct and approve, leaving more time for valuable work.

Switching to Peppol thus not only provides compliance, but above all peace of mind, grip and overview in the financial process.

How do I connect my organization to Peppol?

Connecting can be done through an approved Access Provider or through the link provided by your software vendor. You will then receive a Peppol ID with which invoices can be exchanged securely and uniformly. In practice, this means that your administration or ERP system must be linked to an Access Point.

How do I know if my customers and suppliers are already on Peppol?

Each member organization has a Peppol ID. Through registries or your Access Provider, you can find out which relationships are already Peppol-ready. Many companies discover that part of their network is already connected, often making the switch faster than expected.

When will Peppol become the standard in Europe and what does ViDA mean?

The ViDA legislation makes e-invoicing the new standard in Europe. Belgium will start in 2026, France will follow shortly after and all EU countries are expected to be fully connected around 2030. This means Peppol will become the standard for cross-border and domestic invoices.

Will a pdf soon be valid as an invoice?

A PDF remains permissible for now, but does not meet the Peppol standard. Once Peppol becomes mandatory, governments and more and more customers will only accept e-invoices through the network. Anyone still working with PDFs then runs the risk of invoices not being processed or delayed in payment.
