Efficiency at a high level: how SkyLift grew with Scan Sys

SkyLift faced a growing challenge: an increasing number of incoming invoices and a manual process that was time-consuming, error-prone and lacking in transparency. SkyLift, founded in 2004, is one of the largest independent players in elevator maintenance, repair and modernization. The company serves approximately 8,000 elevator systems and offers services ranging from periodic maintenance to the renovation of outdated systems. The challenge

As the annual number of invoices grew to 20,000, so did the administrative burden. Until recently, SkyLift worked with an outdated, manual process in which each invoice had to pass several times through different employees for approval. ‘In the old situation, every invoice went through someone’s hands as many as four times,’ says Mark van Burgsteeden, Financial Manager. Each invoice went through a complex process of checking, approval and archiving, which led to a “time-consuming and error-prone process with little transparency.

In addition, the organization was growing out of its original accounting package, which was no longer appropriate for the size and complexity of the business. With the growing volume of projects and various types of incoming invoices, SkyLift needed a solution that was more efficient and scalable, without further staff expansion.

The consultant from Scan Sys was very knowledgeable, actually understood immediately what we meant and then knew how to translate it well.

The process/method

On the advice of partner LOKO IT, SkyLift chose Scan Sys, a solution that fits well with its need for automated and efficient invoice processing. With the software fully integrated, SkyLift can now process invoices automatically and link them to the appropriate approval register.

Van Burgsteeden was very satisfied with the implementation: ‘The Scan Sys consultant was very knowledgeable, actually understood immediately what we meant and then also knew how to translate this well into the set-up of the software.’ The implementation process went smoothly and met specific requirements such as ‘reading references on the purchase invoices, automatically reading the mailbox and creating templates.’

With the new software, booking invoices is almost automatic. In many cases “we see the invoice for the first time in the booking screen. Then the creditor is already linked to the invoice, the project number is already read out and the correct approvers are already selected,’ said Van Burgsteeden.

Improved efficiency

With the digitization of the invoice process, the turnaround time for invoices has been significantly reduced. Invoices are automatically retrieved from the mailbox and immediately assigned to the correct project and invoice fiat.

Increased transparency

The digital archive provides full visibility into the approval process. 'We have better visibility of where our invoices are in the approval process. We now know exactly who they are with,' said Van Burgsteeden.

Cost savings

Automation allowed SkyLift to scale up its processes without additional staffing. And thus Skylift met their goal of growing without further staffing expansion.

Improved customer and supplier service

Thanks to digitization, questions from suppliers and customers can now be answered more quickly.
