Looop annually revalues nearly 2 million tons of co-products such as brewer’s grains and potato steam peels into high-quality raw materials. The company is divided into the Co-products and Logistics divisions, which together promote a circular economy.
With a growing volume of invoices and transport documents, Looop was looking for a more efficient way to manage them. Bram Kuunders, Operations Manager, explains how the cooperation with Scan Sys eased the administrative burden and promoted sustainable working.

The challenge
Before the implementation of ImageCapture, the processing of invoices and shipping documents at Looop was inefficient and error-prone. Invoices were printed manually, circulated and entered into the ERP system AccountView. This method of working caused many errors and delays.
“In Logistics, manually filing transport documents was even more time-consuming. Searching for documents took a long time and often led to frustration,” Bram explains. Looop urgently needed a solution to reduce the workload and create overview in the approval process.
I remember well how we lugged binders of invoices through the office for signatures. That really had to change.
The process/method
Looop worked in stages to implement ImageCapture specifically to meet the needs of Co-products and Logistics.
The first phase focused on automating purchase and cost invoices at Co-products, with a seamless link to AccountView. The goal was to eliminate manual errors and reduce turnaround times.
The second phase revolved around the integration of ImageCapture with Transpas. OCR technology was deployed to automatically link transport documents to file numbers, which drastically reduced manual work and minimized search times. Bram stresses the importance of collaboration: “Scan Sys worked closely with us to provide customized solutions. We rolled out the process in small steps, with employees testing the system before it went live.”
This approach ensured a smooth transition, and soon ImageCapture became an integral part of the work processes.

The automated workflow provided shorter turnaround times and more efficient processes. Invoices are now processed quickly and error-free, and the approval process is completely digital.

Invoices and shipping documents are accessible digitally, allowing employees to always understand the status of a document. This eliminates the need for paper archives.
Sustainability and cost savings
Looop realized cost savings of 31% per invoice and a significant reduction in paper consumption with 65% less print consumption in the Finance department and 42% less in Logistics.
