Orangeworks Process Professionals had an inefficient invoice processing process that led to delays, errors and a growing backlog due to an increasing project flow. How Orangeworks transformed its invoice processing with Scan Sys
Go to the story 3
Orangeworks is a leading specialist in the food industry. Founded in 1970 as Staalwerk Mill, the company has developed over the years into an international player in stainless steel processing. They supply machines, materials and complete process installations, meeting strict requirements for hygiene and quality. Over 80% of their orders come from abroad, and their turnover has increased from 4 million to 30 million euros per year.

The challenge
After Jan de Wringer took over the company 11 years ago, measures were immediately taken to automate the secondary processes step by step. Purchase order-related invoices had to be checked against the order. ‘As a result, invoices were sometimes long in transit, stayed too long or even got lost,’ explains Elles de Wringer, final ICT manager.
As the number of projects grew, so did the flow of invoices, resulting in a processing process that took more and more time. “If the clerk in administration was not present, the invoices soon piled up,” she adds. The organization needed a solution to automate this manual process.
Scan Sys is the only scanning software provider with a certified link to Ridder iQ software for automated invoice processing.
The process/method
To meet the challenges, Orangeworks turned to Scan Sys. ‘Scan Sys is the only scanning software provider with a certified link to Ridder iQ software for automated invoice processing,’ says Elles de Wringer. The implementation went smoothly, and employees were quickly familiar with the new system.
Scanned or e-mail-imported documents are automatically linked to the correct creditor in Ridder iQ and key invoice data are read out. ‘In the beginning there is always a period of getting used to it, but you notice here that users are really enthusiastic,’ Elles said.
The result
Increased efficiency
Automation has allowed Orangeworks to optimize invoice processing, allowing them to do more work with the same staff.
Faster lead times
The number of days invoices are in transit between branches is significantly reduced, leading to a faster approval cycle.
Better internal control
Automated invoice processing has improved traceability and control over financial data, which is critical for annual audits.
Growth in sales
Despite the increase in annual sales from 4 million to 30 million euros, overhead remains low thanks to optimized administrative processes.
