AI in financial processes: how do you really add value?

AI in financial processes: from hype to structural added value

How do you add AI to financial processes in such a way that it really works in practice? That was the central question during a recent AI Ideation session we attended as Scan Sys, together with Blinqx and Blis Digital. We examined which applications of Artificial Intelligence actually contribute to recognition, processing and reliability within financial administration.

At Scan Sys, we don’t apply AI experimentally. We are purposefully building structural improvements within our software solution ImageCapture, with the goal: simplicity in the processing of financial document flows. Whether it’s incoming invoices, order confirmations, sales orders or contract documentation: AI should ensure even fewer exceptions, even better recognition and even less manual work.

What did we explore about AI in financial processes during the AI Ideation session?

Under the guidance of Ynze Sipkema and Cornel van der Heiden (Blinqx) and Ton van Dijk and Arco van der Velde (Blis Digital), we worked on some sharp exploration:

  • How can AI support users functionally within existing software?
  • What role can AI agents play in interaction and navigation?
  • What is the added value of language models such as GPT-4o in interpreting document information?
  • How do you ensure secure, controlled validation of AI functionality?

Our COO, Jos Zimmermann, summed it up powerfully:
At Scan Sys, we are always innovating for the customer. These sessions with Blinqx are a great complement to that. They get you working on ideation from a different, fresh angle. The energetic approach brings out creativity, with a concrete plan of action at the end of the session.

What does the session provide for future AI applications?

The session with Blinqx and Blis Digital provided valuable input for further development of AI within our software as well as services. We worked on:

  • An inventory of further AI opportunities within our solutions
  • Exploration of AI agents with functional added value for end users
  • Prototypes based on GPT-4o, among others, focused on document data processing
  • An approach to targeted validation in collaboration with customers and partners

These insights strengthen our roadmap within the Blinqx Group and help us make forward-looking choices.

From AI-Ready to Powered by AI in financial processes

The session connected to the development already underway. With the introduction of ImageCapture 11.1, built on the .NET 8 platform, our software is AI-Ready: prepared for the deployment of modern AI technology.

In version 11.2, we take the first step toward Powered by AI. This consists of an AI-supported improvement in the recognition of header data on purchase invoices, such as invoice number, date, amount and order number. That recognition will be:

  • more accurate for different number notations
  • less reliance on templates
  • more applicable to unstructured documents such as scanned PDF invoices

This first application is the start of future extensions. Think of AI support in rule recognition, further processing power in matching with order confirmations and, for example, automated validation in contract and procurement processes.

Why Scan Sys chooses this AI approach

Technology is only valuable to us when it makes processes easier. Therefore, at Scan Sys, AI is not hype or a marketing story, but a functional layer that helps provide users with more grip, peace of mind and reliability in their financial administration.

Whether it’s recognizing header and line items in invoices, matching purchase orders with order confirmations or automatically checking contract agreements, AI amplifies where it makes a difference, without losing control.

Together with partners such as Blinqx and Blis Digital, we are building applications that contribute concretely to this. Carefully, verifiably and step by step.
