Scan Sys: the key to faster invoice processing at Triott Group

Triott Group’s invoicing process was inefficient and required a lot of time and resources. Processing about 20,000 invoices per year, the manual system was no longer sustainable. Scan Sys helped them implement an advanced scanning solution, digitizing and optimizing the process.

Triott Group is an international player in the design and manufacture of machinery and plant for the grain processing and compound food industries. Originating from Ottevanger Milling Engineers, Triott is a holding company of six operating companies focusing on various aspects of plant design. The organization has more than 250 employees and operates two well-equipped factories in the Netherlands. ‘Despite the size of the organization, it really feels like a family business, involved, social and interested in its employees. Actually, you can already see this in the low turnover of staff,’ said Martijn Hendriks, Financial Manager.

Triott Group was dealing with an outdated and inefficient invoicing process. Martijn says: ‘Before the process was digitized, invoices came in by mail or e-mail and had to be printed out and sorted by administration. The invoices went their rounds past different employees for approval, but along the way they sometimes got lost.’

With the growth of the organization and the desire to centralize administrations, pressure arose to switch to a modern ERP solution that also supported invoice scanning. “The growth of Triott Group, the desire to centralize all administrations and the related pressure that arose on the administrative process led us to switch to another ERP application,” Hendriks said.

A large part of the invoices come into our administration digitally. We have almost nothing to worry about.

The process/method

Scan Sys implemented the ImageCapture software in combination with the Trimergo T2 ERP system. According to Martijn, Scan Sys is “the package Trimergo works with, so the choice for a scanning solution was also immediate. The process began with the automatic import of digital invoices from the mailbox, while physical invoices were scanned and integrated into the system.

Martijn emphasizes, ‘A large part of the invoices come into our administration digitally. We hardly have to worry about that anymore.’ The implementation went smoothly, and employees quickly became familiar with the new workflow, which was considerably more efficient than the old system.
